Administrative Assistant position Business Services PBOES
Summary of Position:
The Administrative Assistant reports to the Director of Business Services and is responsible for providing administrative support and coordination of clerical services for Business Services and Human Resources.
Primary Duties & Responsibilities:
- Coordinates office administrative services for Business Services and Human Resources including developing and implementing administrative procedures in this area;
- Schedules, coordinates and confirms meetings and training sessions
- Liaise with instructors to organize and schedule training courses; registering and confirming employees in courses and workshops, including safety courses and handling training related inquiries
- Coordinates the posting of jobs internally and externally; prepares and posts job advertisements; maintains the electronic and hard copy recruitment files including all relevant documentation;
- Schedule interviews and prepare interview packages for job competitions
- Assists with recruitment for open positions, including preparing and posting job advertisements
- Utilizes a variety of software including MS Excel. PowerPoint and MS Word
- Maintains record of employment agreements and issues appropriate reminders to supervisors.
- Manage sensitive and confidential matters like personnel relations, employee relations and organizational changes, planning and protecting the surety of information, data and files.
- Performs various administrative functions that include: creating and distributing surveys, collecting statistical information, preparing meeting materials and maintaining records.
- Arranges meetings, prepares and circulates agendas, records minutes and books appointments for the Director and Junior Director.
- Assist in PBOE projects, special events and activities
Qualifications
- Two (2) year post-secondary Office Administration Diploma (equivalencies will be considered)
- Two (2) years of office administration experience
- Knowledge of word processing, spreadsheet and database management applications
- Knowledge of Blackfoot Language and Culture
- Provide a clean criminal record check and intervention check
- Must show proof of COVID-19 vaccination
